12 Missed Call Text Back Templates That Actually Get Replies

By Michael Hence, Hence Enterprises LLC · Updated September 2026 · 6 min read

The text you send after a missed call has one job: get the caller to reply or book before they call the next business on the list. These templates are the ones that have worked best inside our own GoHighLevel workflows. Each is under 160 characters, includes an opt-out line for A2P compliance, and uses GoHighLevel merge fields so the same message is correct in any sub-account. Swap [link] for your booking link.

The rules that matter more than the wording

  • Send within 60 seconds. Reply rates fall off a cliff after five minutes. Let the automation send it, not a person.
  • Ask one question. "How can we help?" beats a paragraph about your services.
  • Give a way to book without talking. A lot of callers hate phone tag. A booking link converts them.
  • Keep "Reply STOP to opt out" in the first message. Carriers score you on complaints; this protects your number.

3. On the phone with someone else

{{location.name}} here. We were helping another customer when you called. What can we do for you? Reply STOP to opt out.

Home services (plumbing, HVAC, electrical, roofing)

4. Emergency-aware

{{location.name}}: sorry we missed you. If this is urgent, reply URGENT and we'll call right back. Otherwise book here: [link]. Reply STOP to opt out.

5. Quote request

Med spa, dental, salons, clinics

6. Appointment first

Real estate and mortgage

8. Buyer or seller

9. Listing inquiry

10. Drop-off

Hi, this is {{location.name}}. We missed your call. Want to book a drop-off? Pick a time: [link]. Reply STOP to opt out.

The follow-up texts (for when the first one gets no reply)

11. One hour later, softer

Just checking in from {{location.name}}. If now's a bad time, no worries. Book whenever works for you: [link]

12. Next day, last touch

Last note from {{location.name}}: we're here when you're ready. Reply anytime or book here: [link]

After the last touch, tag the contact (for example missed-call-no-reply) and move them to an "Attempted Contact" stage. A two-week nurture sequence can pick them up from there without anyone chasing them by hand.

How to put these into GoHighLevel

Create a workflow with a Call Status trigger (no-answer, busy, voicemail; direction incoming), an SMS action with template 1, an internal notification and task for your team, a 1-hour wait, template 11 if there is no reply, a 23-hour wait, then template 12 plus a tag and pipeline move. Our step-by-step GoHighLevel missed call text back guide covers every click.

Or import all of it, already built

Never Miss a Lead is a GoHighLevel snapshot with the missed call text back workflow above (including the follow-up branches), plus web form and chat follow-up, booking confirmations and reminders, and a 14-day cold lead nurture. Merge fields throughout, setup guide included, installs in about 20 minutes.
